Correspondence Threading
Kazinex Workflows supports threaded correspondence — replies to a correspondence item are linked as child items under the original, creating a visible conversation thread. This keeps all related exchanges in one place and makes it easy to track the full history of an RFI, NCR, or TQ from initial query to final response.
Replying to a correspondence item
To reply to a received correspondence item:
- Open the correspondence item from the Correspondence register or from your notification.
- Click Reply in the item detail toolbar.
- The composition form opens with:
- To and CC pre-populated with the original sender (and CC list, reversed)
- Type pre-set to match the original item's type
- Reference number showing the parent reference (e.g.
RFI-042) - Subject pre-filled with
Re: [original subject]
- Compose your response body. Load a template if needed.
- Add attachments or document references relevant to the response.
- Click Send.
The reply is assigned its own unique reference number and status, but is permanently linked to the parent item.
Viewing a thread
Open any correspondence item. The Thread panel on the right side shows all related items in chronological order:
- The original item (parent)
- All replies (children), with their reference numbers and sent dates
- The status of each item in the thread (Draft, Sent, Responded, Closed)
Click any item in the thread panel to navigate directly to that item's detail view.
Parent-child reference
Child items (replies) display their parent reference prominently — for example, an NCR response marked NCR-RESP-001 will show In response to: NCR-015. The parent item shows a badge indicating it has N replies.
In the Correspondence register list, filter by Status = Responded to see parent items where at least one reply has been received.
Read status tracking
Kazinex tracks which recipients have read (opened) each correspondence item. This read status is visible to the sender on the item detail page:

| Sent | Delivered to recipients, not yet opened by any recipient |
| Read | At least one recipient has opened and viewed the item |
| Responded | A reply has been received |
| Closed | Marked as resolved — no further action expected |
Viewing read status
On the item detail page, the Recipients section shows a read indicator for each recipient:
- ✓ (tick) — recipient has opened the item in Kazinex
- — (dash) — recipient has not yet opened the item
Read tracking works for recipients who access the item through Kazinex. Email-only recipients (external emails) are not tracked — their read status always shows as untracked.
Closing a correspondence item
Once an RFI or NCR is resolved, mark it as Closed:
- Open the item.
- Click ⋮ → Close.
- Confirm closure.
Closed items are retained in the register permanently but are excluded from the default view (use Status = Closed filter to see them). Closing an item does not prevent further replies — if a new message is sent referencing a closed item, it reopens automatically.
