Document Activity

The Document Activity view shows every recorded event on a specific document from the moment it was registered to the present. Unlike the organization-wide Audit Trail, Document Activity is scoped to a single record and is visible to all team members with access to that document — providing an accessible, chronological narrative of the document's lifecycle.

Workflows document activity

Event types

Document Activity captures the following event categories and individual event types:

Upload and file events

EventDescription
uploadedThe initial document file was uploaded and the register record was created. Shows filename, uploader, and revision label.
revision_uploadedA new file revision was uploaded against the existing record. Shows new revision label and change description.
file_downloadedA team member downloaded the document file. Shows filename, downloader, and revision.
file_previewedA team member opened the document in the in-browser preview.

Metadata and status events

EventDescription
metadata_editedA metadata field was changed. Shows which field changed, old value, and new value.
status_changedThe document's status was manually changed. Shows previous and new status with the acting user.
lockedThe document was locked to prevent concurrent revisions. Shows who locked it and timestamp.
unlockedThe lock was released. Shows who released the lock.
marked_no_longer_in_useThe document was flagged as inactive without archiving.
supersededThe document was marked as superseded by another record. Shows the superseding document's reference.

Confidentiality events

EventDescription
confidentiality_enabledConfidentiality was turned on for this document. Shows which access control group was assigned.
confidentiality_revokedConfidentiality was removed. Document became visible to all project members.
acg_changedThe assigned access control group was changed (confidential documents only).

Workflow events

EventDescription
workflow_startedA review or approval workflow was started on this document. Shows workflow name, initiator, and step count.
workflow_step_activatedA specific step became active. Shows step name and assignees.
workflow_step_completedA step was completed. Shows outcome (approved, rejected, reviewed, acknowledged) and responder.
workflow_completedThe workflow reached its final state. Shows overall outcome.
workflow_cancelledThe workflow was cancelled before completion. Shows cancelling user and reason.

Transmittal and correspondence events

EventDescription
transmittedThe document was included in a transmittal issue. Shows transmittal number, issue date, and recipient count.
correspondence_linkedA correspondence item was linked to this document. Shows the item's type and reference number.

Access and package events

EventDescription
package_assignedThe document was assigned to a work package. Shows the package reference.
package_removedThe document was removed from a work package.
guest_share_createdA guest share was created for this document. Shows expiry configuration.
guest_share_revokedA guest share was revoked before expiry.

Viewing document activity

  1. Open the document from the register.
  2. Select the Activity tab.
  3. Events appear in reverse chronological order (newest first) by default.
  4. Toggle Oldest first to read the lifecycle from beginning to end.

Filtering the activity log

Apply filters to focus on specific event types or actors:

UserFilter to events performed by a specific team member.
Date rangeFrom / to date filter.

Filters combine as AND conditions. Clear all filters to return to the full activity log.


Exporting activity

The filtered activity log for a single document can be exported as a CSV file using the Export button. The export includes event type, category, actor name, timestamp, and the event detail (field change, outcome, reference, etc.).


Project-level activity view

For a cross-document view of activity across the project, use the project-level Activity dashboard (accessible from the sidebar). It shows events across all documents filtered by project, with the same filtering options as the document-level view but applied across all records.


Filter by action type, date range, or actor to find a specific event quickly.

Export

Export the activity log to PDF or Excel for inclusion in audit packages or dispute resolution evidence files.
