Notifications

The Notifications area displays alerts for all Workflows events relevant to your role and project memberships. It combines an in-app notification feed with configurable email delivery, giving you a single, consistent place to track what needs your attention across every project.

Notification types

step_assignedA workflow step has been assigned to you and is now active.
step_completedA step you were watching or initiated has been completed by the assignee.
workflow_completedA workflow you initiated or are watching has reached its final state.
deadline_warningA step, transmittal, or correspondence item you are responsible for is approaching its due date (warning threshold configurable in settings).
overdueA step, transmittal, or correspondence item assigned to you has passed its due date.
commentA reviewer added a comment to a workflow step you are participating in or watching.
invitationYou have been invited to join a project or organisation workspace.
role_changedYour role or group membership on a project has been modified.
transmittal_issuedA transmittal has been issued to you or a distribution list you belong to.
transmittal_acknowledgedA recipient has acknowledged a transmittal you issued.
correspondence_receivedA correspondence item (RFI, NCR, TQ, etc.) has been sent to you.
comment_addedA reply has been added to a correspondence thread you are participating in.

Notification feed

The in-app feed is accessible from the bell icon in the navigation bar and from the Notifications tab. It shows:

  • The notification type and a short description.
  • The related record (document, workflow, transmittal, or correspondence item) as a clickable link.
  • The time elapsed since the event fired.
  • A blue dot indicating unread status.

Read retentionRead notifications remain visible in the feed for 30 days, then are archived.
Unread countThe bell icon badge shows the total unread count across all projects.

Email delivery settings

Each notification type can be independently enabled or disabled for email delivery, and given a frequency setting:

ImmediateAn email is sent as soon as the event fires. Recommended for step_assigned, overdue, and transmittal_issued.
Daily digestAll enabled events from the day are bundled into a single email sent each morning.
Weekly digestAll enabled events from the week are bundled into one email sent each Monday.
OffNo email is sent for this event type. In-app notifications still appear.

Configuring notification preferences

  1. Go to Settings → Notifications.
  2. The notification preferences list shows each notification type.
  3. Use the Email toggle to enable or disable email delivery for each type.
  4. Use the Frequency selector to choose Immediate, Daily, Weekly, or Off.
  5. Changes apply immediately to future events.

Per-project notification scope

You can configure notification preferences globally (all projects) or override them per project. To set a project-specific override, select the project from the context selector in the Notifications settings page before editing.
