Projects Tab

The Projects tab lists every Workflows project you have access to and provides a high-level health summary for each. From here you can switch the active project context, start a new project, or jump directly to a project's settings. Only projects where you have at least viewer-level access are listed.

Project list columns

ColumnDescription
Project nameFull name of the project. Click to switch the active project context.
Reference codeShort alphanumeric code identifying the project (set in project settings).
Your roleYour role on this project (Admin, Controller, Reviewer, Viewer, External).
Open workflowsCount of workflows with at least one incomplete step.
Pending actionsCount of workflow steps currently assigned to you on this project.
Overdue itemsCombined count of overdue steps, transmittals, and correspondence.
Last activityTimestamp of the most recent event on this project.
MembersNumber of team members with project access.

Switching the active project

Click any project row to make it the active context. The entire Workflows workspace — document register, transmittals, correspondence, review matrix, and dashboard panels — switches to that project.

The current active project is highlighted in the project list and shown in the top navigation bar.


Creating a new project (Admin only)

Organisation admins and project admins with the appropriate permission can create new projects:

  1. Select New project in the top right of the Projects tab.
  2. Enter the project Name and Reference code.
  3. Set the project Start date and optional End date.
  4. Choose a Storage provider (Supabase, SharePoint, or R2).
  5. Optionally copy document field configuration from an existing project.
  6. Save. The project is created and you are taken to its settings to configure fields, numbering, and the team.

Project settings shortcut

Hover over a project row and click the gear icon to jump directly to that project's Settings page. This avoids switching the active project context just to change a configuration.


Project health indicators

IndicatorWhat it signals
High Overdue items countReviewers or recipients are not responding within SLA. Consider escalation.
High Open workflows countMany documents are in review simultaneously; capacity may be constrained.
Zero Last activity for several daysProject may be stalled or team members may be waiting on external input.
