Copy Prior Edition
The Copy Prior feature pre-populates a new edition's fields and rows by copying values from a previous edition of the same blueprint. This reduces re-entry for recurring reports where much of the data carries forward period to period.
Access: Edition Editor header → Copy Prior button (CopyOutlined icon). Only shown when edition status is Draft.
When to use Copy Prior
Copy Prior is most useful for reports with stable, repeating data:
- Risk registers — many risks persist from one period to the next; copy and update only the status changes.
- Action logs — carry forward open actions and update completion status.
- Project details — project name, team, location, and other metadata rarely change.
- Lookahead plans — copy the upcoming 3 weeks from the prior period and shift dates.
For sections with entirely new data each period (e.g. daily site diaries, period-specific cost snapshots), copying adds no value.
Procedure
- Open a Draft edition.
- Click Copy Prior in the header toolbar.
- The Copy Prior dialog opens and lists prior editions of the same blueprint reference.
- Select the edition to copy from (e.g. "MPR-2026-02 — March 2026 — Approved").
- Select the sections to copy. Each section is listed with a toggle.
- Click Copy.
The selected sections' field values and rows are copied into the current edition. The dialog closes and the edition data updates immediately.
What is copied
| Item | Copied? |
|---|---|
| Single-entry field values | Yes — all field values in single-entry sections |
| Repeating section rows | Yes — all rows and their field values |
| Select / RAG / Toggle values | Yes |
| Text, Rich Text, Number, Date values | Yes |
| Computed field values | No — computed fields recalculate automatically |
| Lookup field values | Yes — the selected value is copied (not re-resolved) |
| File attachments | No — files are not copied between editions |
| Image field uploads | No — images are not copied |
| Review comments | No — comments belong to the source edition |
| Edition status | No — the current edition remains in Draft |
Overwriting vs. merging
Copy Prior overwrites all values in the selected sections — it does not merge:
- If the current edition already has data in a section you include in the copy, that data is replaced.
- If the current edition has data in a section you exclude from the copy, that data is preserved.
Copy section by section to control what is overwritten.
After copying
After copying, review each section:
- Update fields that have changed since the prior period (dates, statuses, values).
- Delete rows that no longer apply.
- Add new rows for new items (new risks, new actions, etc.).
- Clear or update any fields that should not carry forward verbatim.
Supported source editions
The Copy Prior dialog lists all editions of the same blueprint reference that are in Approved, Published, or Closed status. Draft editions of the same reference are not listed as sources.
If no prior editions appear, this is the first edition for this blueprint in the current project.
