Print and Export Your Schedule

What You Will Learn

By the end of this tutorial, you will be able to:

  • Configure print settings (page size, orientation, header, footer)
  • Choose which sections to include (grid, Gantt, or both)
  • Preview the print layout
  • Print to a physical printer or save as PDF
  • Export the schedule as XER (Primavera P6), MSPDI (MS Project), or XML

Prerequisites

  • A Kazinex account (Pro or Enterprise for export features)
  • A schedule open with activities visible

Step 1 — Open Print Settings

Access the print configuration from the toolbar.

  1. Open a schedule in the Activities tab.
  2. Click the Print button in the toolbar (printer icon).
  3. The Print Settings modal opens.

What you should see: A dialog with options for page size, orientation, and content selection.


Step 2 — Configure Page Layout

Set the paper size and orientation for your output.

  1. Select the Page Size: A4, A3, Letter, or Legal.
  2. Select the Orientation: Portrait or Landscape.
  3. For schedules with many columns, Landscape on A3 gives the most space.

What you should see: Dropdown menus for page size and orientation. The preview area adjusts to show the selected layout dimensions.


Add project identification to the printed output.

  1. Enter Header Text (for example, the project name and client name).
  2. Enter Footer Text (for example, "Confidential" or the date).
  3. These appear at the top and bottom of every printed page.

What you should see: Text input fields for header and footer. The preview shows the text positioned at the top and bottom margins.


Step 4 — Choose Content Sections

Select which parts of the view to include in the print.

  1. Toggle Grid: include the activity data table.
  2. Toggle Gantt: include the Gantt chart timeline.
  3. Select Both to print a split view matching your on-screen layout.
  4. If printing grid-only, the output focuses on tabular data.

What you should see: Toggle switches or checkboxes for Grid and Gantt. Enabling both produces a print that mirrors the split view on screen.


Step 5 — Preview the Output

Check the result before printing.

  1. Click Preview in the Print Settings modal.
  2. A print preview panel opens showing how the pages will look.
  3. Scroll through the preview to verify layout, column visibility, and Gantt range.
  4. If the layout needs adjustment, close the preview and change settings.

What you should see: A page-by-page preview of the print output. Each page shows the header, content (grid and/or Gantt), and footer.


Step 6 — Print or Save as PDF

Send the output to a printer or save it digitally.

  1. Click Print in the preview panel.
  2. Your operating system's print dialog appears.
  3. Select a physical printer, or choose Save as PDF / Microsoft Print to PDF.
  4. Click Print or Save.

What you should see: The system print dialog with your printer options. Choosing PDF creates a downloadable file that you can share by email.


Step 7 — Export as XER (Primavera P6)

Create a file compatible with Oracle Primavera P6.

  1. Close the Print Settings if still open.
  2. Click the Export button in the toolbar.
  3. Select XER from the format options.
  4. Click Export.
  5. The .xer file downloads to your Downloads folder.

What you should see: A download notification. The XER file contains all project data: activities, WBS, relationships, calendars, resources, and activity codes.


Step 8 — Export as MSPDI (Microsoft Project)

Create a file compatible with Microsoft Project.

  1. Click the Export button.
  2. Select MSPDI from the format options.
  3. Click Export.
  4. The .xml file (MSPDI format) downloads.

What you should see: A download of the Microsoft Project XML Interchange file. This can be opened directly in Microsoft Project 2016 or later.


Step 9 — Export as Generic XML (Optional)

Create a vendor-neutral XML export.

  1. Click the Export button.
  2. Select XML from the format options.
  3. Click Export.

What you should see: A generic XML file containing the schedule data. This format is useful for integration with other tools or custom processing.


Step 10 — Verify Your Exports

Confirm all output files are correct.

  1. Open the PDF file — it should match the print preview.
  2. Open the XER file in P6 (or a text editor to spot-check the structure).
  3. Open the MSPDI file in Microsoft Project (or a text editor).
  4. Verify that activity counts, dates, and relationships are preserved.

What you should see: Accurate representations of your schedule in each format. All data should be intact.
