Notification Management
Kazinex sends notifications through two channels: in-app (the bell icon notification centre) and email. This guide covers how to manage notification defaults at the organisation level and how to configure per-role preferences.
Notification channels

Notification triggers
Notifications are sent when specific events occur. See Notifications Reference for the full list of triggers and which roles receive each notification type.
Key event categories:
- Workflow events: step assigned, step approved, step rejected, workflow completed, workflow overdue
- Document events: document uploaded, document status changed, document comment added
- Correspondence events: correspondence received, response due, correspondence overdue
- Transmittal events: transmittal issued, transmittal acknowledged
- Admin events: member invited, role changed, storage provider error
Org-level notification settings
Org Admins can configure default notification behaviour for all members:
- Go to Settings → Organisation → Notifications.
- Configure:

Email digest options
| Option | Behaviour |
|---|---|
| Immediate | Each event triggers a separate email (may be high volume) |
| Daily digest | Events are batched into one email per day (sent at 08:00 org timezone) |
| Weekly digest | Events batched into one email per week |
For projects with high activity (many workflow steps completing per day), the Daily digest option significantly reduces email noise for reviewers.
Per-role notification defaults
Different roles have different notification needs. You can set defaults by role:

| Project Admin | Immediate — needs to know about failures, overdue items immediately |
| Initiator | Immediate — needs to track their own workflow instances |
| Reviewer | Daily digest — step assignments only; no need for every document event |
| Viewer | Weekly digest or off — mostly observational |
To set role defaults:
- Settings → Organisation → Notifications → Role Defaults.
- Select the role.
- Configure defaults for that role.
- Click Save.
Note: Role defaults set the starting configuration for new members. Existing members retain their personal settings unless you apply a "Reset to default" override.
Member self-service
Individual members can customise their own notification preferences:
- Click their avatar → Profile → Notifications.
- Toggle on/off individual notification types.
- Set email digest frequency.
Members cannot disable in-app notifications — these always show in the notification centre.
Monitoring undelivered notifications
Email delivery failures (e.g. bounced addresses, inbox blocks) are visible in the organisation audit log:
- Settings → Audit Log → filter by Event Type: "Notification Delivery Failed".
- Identify which member's email is not receiving notifications.
- Contact the member to update their email address or check their spam filters.
