Notification Management

Report Forge sends email notifications to keep contributors, reviewers, and admins informed about edition progress. This page explains which events trigger notifications, how to configure defaults at the workspace and project level, and how members manage their own preferences.

Workspace-level defaults

Workspace Admins set the default notification behaviour for all projects in the workspace.

Configuring workspace defaults

  1. Go to Workspace SettingsNotifications.
  2. For each event category, toggle on or off:
    • Email notification — send an email for this event
    • In-app notification — show a badge in the Report Forge notification panel
  3. Click Save defaults.

Email digest

Instead of per-event emails, enable the Daily digest option:

  • Digest emails are sent at 08:00 in the workspace timezone (configurable).
  • The digest groups all notification events from the previous 24 hours.
  • Digest is per-user — each member receives their own consolidated digest.

Per-project notification overrides

Project Admins can override workspace defaults for their project.

  1. Open the project → Project SettingsNotifications.
  2. Override the workspace default for specific events.
  3. Click Save project settings.

Project-level overrides apply to all members of that project. They take precedence over workspace defaults but are overridden by individual member preferences.

"—" means this role does not receive this notification by default.


Member self-service preferences

Individual members can adjust their own notification preferences from their profile.

Member steps:

  1. Click the AvatarProfileNotifications.
  2. For each event, choose:
    • Email — receive an email
    • In-app only — receive a badge notification in the app, no email
    • Off — no notification

Member preferences take precedence over project and workspace defaults.

Workspace Admins can view but cannot override individual member preferences. If a member has disabled notifications for critical events, remind them to update their preferences — or contact the member directly.


Suppressing notifications during testing

When setting up a new blueprint or testing an edition workflow, notification emails to the whole team can be distracting. Use the Notification suppression option:

  1. Go to Project SettingsNotifications.
  2. Enable Suppress all notifications toggle.
  3. Set an end date — suppression automatically lifts on that date.
  4. Click Save.

All email notifications for the project are suppressed during this period. In-app notifications continue to work.

caution

Suppression applies project-wide. Remember to lift suppression before going live — a team that does not receive submission notifications will miss review deadlines.


Monitoring notification delivery

Workspace Admins can check notification delivery health:

  1. Go to Workspace SettingsNotificationsDelivery log.
  2. Filter by event type, date range, or recipient.
  3. The log shows:
    • Sent — email delivered to the recipient's mail server
    • Opened — recipient opened the email (where tracking is enabled)
    • Bounced — delivery failed (invalid address or server rejection)
    • Suppressed — email was not sent due to project suppression or member preferences

Handling bounced emails

If a member's email is bouncing:

  1. Check the member's email address in Workspace SettingsTeam — correct any typos.
  2. Ask the member to add noreply@kazinex.com to their safe senders list.
  3. If the domain is rejecting all Kazinex emails, the member's IT team may need to whitelist the sending domain.

Notification templates

Email notification content uses standard Kazinex templates. The body includes:

  • Project name and edition name
  • The triggering event (e.g. "Edition submitted for review")
  • A direct link to the edition
  • Workspace branding (logo and primary colour, if configured in Branding Settings)

Notification template content cannot be customised per workspace. Contact Kazinex support for enterprise custom template requirements.
